1. Data controller

Plannovation B.V. is the controller responsible for the processing of your personal data within the meaning of the General Data Protection Regulation (GDPR).

Plannovation has not appointed a Data Protection Officer (DPO), as Plannovation is not required to do so under Article 37 GDPR.

2. Data we process

Through our contact forms, we process only the information you actively provide, such as: name, email address, phone number, company name, subject and message.

3. Purposes and legal bases

We process personal data for the following purposes:

• Responding to contact requests and information enquiries.
• Discussing quotes or potential collaboration.
• Performing our services.

Legal basis: We process your data on the basis of legitimate interest (Art. 6(1)(f) GDPR). Our legitimate interest is to respond to your contact request and to maintain business communication. We have balanced this interest against your privacy interests and concluded that our interest prevails, given that we only process data you have actively provided and do not use it for any other purpose. Where applicable, we also process data on the basis of pre-contractual steps at your request (Art. 6(1)(b) GDPR).

4. Processors and transfer outside the EEA

We use FormSubmit (formsubmit.co) to process contact form submissions. FormSubmit acts as a processor within the meaning of the GDPR. We have assessed our processing relationship with FormSubmit and rely on FormSubmit's applicable terms and conditions. We recommend that you periodically review FormSubmit's privacy policy at formsubmit.co.

Depending on the configuration of FormSubmit, processing may take place outside the European Economic Area (EEA). In such cases, transfer is carried out on the basis of appropriate safeguards, such as the Standard Contractual Clauses (SCCs) adopted by the European Commission. 5. Retention periods

We retain personal data no longer than necessary for the purpose for which it was collected. For regular contact requests, we apply a retention period of a maximum of 12 months, unless a longer period is required by law or necessary for an ongoing collaboration.

FormSubmit states in its help documentation that submitted forms may be retained in their archive for up to 30 days for account functionality. See: formsubmit.co/help.

6. Your rights

Under the GDPR, you have the following rights:

7. Automated decision-making and profiling

Plannovation does not use automated decision-making or profiling as referred to in Article 22 GDPR.

8. Right to lodge a complaint

If you believe that we are not processing your personal data correctly, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.

9. Cookies and tracking

This website does not use analytical or marketing cookies. No personal data is collected through cookies or tracking scripts.

10. Changes

We may update this privacy statement to comply with changes in legislation or our working practices. The most recent version is always available on our website. We recommend checking this page periodically.
